Reception Lead (Maternity Cover)

The Role 

In this role you will be responsible for the smooth running of Reception and IT processes of reception.  You will supervise the reception team and ensure the practice is running efficiently.  You will ensure the highest standards of patient care from arranging appointments, meeting and greeting patients and supporting the work of the GP's and Practice Manager.  As Reception Lead you will act as a focal point to the patients between the GP’s, Practice Manager and other members of the primary health care team, ensure administrative and clerical duties within the Practice are carried out within the Practice’s guidelines and policies and that the day-to-day patient administrative activities of the Practice are carried out accordingly.  This is a maternity cover role.  The permanent hours for this role are Monday, Tuesday, Wednesday - 08:00-16:00, Thursday - 08:00-13:00 & Friday - 08:00-16:00.  However, you must have some flexibility as the rota may on occsaion change. 

 

Reception and Appointment system 

  • Supervise, train, mentor and develop reception team  

  • Lead the training on the appointment sessions 

  • Arrange appointments either face to face or via the telephone 

  • Monitor flow of patients in the waiting room ensuring the appointment system accurately reflects the arrival of patients 

  • Monitor GP Rota's and identify potential gaps and report to Practice Manager 

  • Support locums/assistants/salaried GP's working in the practice 

  • Organise duty rotas and co-ordinate leave requests  

  • Be the first point of contact for patients who are having difficulty 

  • Dealing with patient enquiries both by telephone or face to face 

  • Preparing doctors rooms between surgeries 

  • Providing patients / pharmacists repeat prescriptions 

 

Administration 

  • Lead of delivering all operating processes and procedures for reception and waiting room 

  • Dealing with patient tasks from Doctors in a pro-active manner 

  • Organise flu clinics.  Co-ordinate with Practice Manager  

  • Entering details onto the patient computer medical records 

  • Producing summary printouts and printed documentation as required by community staff, secondary care and the patient 

  • Generating repeat prescriptions 

  • Registering temporary and regular patients on to the computer system 

 

General Duties 

  • Lead the way in the maintaining and encouraging of adequate security measures e.g. locking doors, setting security alarm where relevant. Complying with IG and smartcard security. 

  • Lead on Health and Safety of all staff, patients and visitors. 

  • Ensure confidentiality at all times, only releasing confidential information obtained during the course of employment to those acting in an official capacity with the agreement of the Practice Manager. 

  • Comply and familiarise yourself with the Practice’s policies and procedures. 

  • Carry out any other duties as reasonably requested by the Doctors, Practice Manager or Assistant Practice Manager. 

 

Health and Safety responsibilities 

  • The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the Practice Health & Safety Policy, to include: 

  • Using personal security systems within the workplace according to Practice guidelines 

  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks 

  • Making effective use of training to update knowledge and skills 

  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards 

  • Reporting potential risks identified 

 

Your experience 

  • We expect you will have a minimum of two years-experience in a similar Lead Reception role  

  • You will have Maths and English GCSE grade C or grade 4 and above 

 

Your skills: 

  • Excellent IT skills 

  • Ability to organise, plan and deliver in a fast-paced environment   

  • Excellent communications and customer service skills, and the confidence to communicate to patient in a compassionate way 

  • Good administrating skills and good attention to detail   

  • Good skills in Microsoft 365 packages, and you must be comfortable in embracing new technology 

  • Ability to lead, mentor, develop and motivate a team
